Development Operations Manager, Full-Time

The Bruce Museum stands at a pivotal moment. With a recently completed $68 million transformational expansion that tripled gallery space, the Museum is building upon institutional momentum to secure its long-term sustainability and philanthropic growth. The Museum seeks an experienced development operations professional to serve as Development Operations Manager, a role that combines rigorous data management, prospect pipeline stewardship, and strategic analytical support for the entire advancement team.

Position Overview

The Development Operations Manager is the engine behind the Bruce Museum's fundraising infrastructure. Reporting to the Director of Development, this role serves as the primary steward of the Museum's donor management system, prospect pipeline, gift processing, and fundraising analytics — ensuring that the Development team has the data, research, and reporting they need to make strategic decisions and that the CEO, Director of Development, and VP of Strategic Advancement and Principal Gifts have timely, accurate, and actionable intelligence on fundraising performance.
This role integrates prospect pipeline management, moves management support, and data-driven performance reporting as core functions alongside traditional gift processing and database administration.

Key Responsibilities

Prospect Pipeline Management & Fundraiser Support (30%)

  • Pipeline Stewardship: Serve as the primary manager of the department's prospect pipeline, ensuring all prospects are accurately staged, assigned, and moving through the donor cycle.
  • Moves Management Support: Conduct weekly pipeline reviews with gift officers and the Director of Development to assess moves management activity and flag stalled relationships.
  • Prospect Research & Identification: Conduct and coordinate prospect research — identifying new major and principal gift prospects through screening, wealth analytics, and network mapping. Prepare donor profiles and briefings for gift officers.
  • Portfolio Support: Maintain portfolio and necessary data and partner with the Director of Development and Development team to prioritize new prospects.
  • Wealth Screening: Run regular prospect screenings using wealth intelligence platforms (e.g., DonorSearch, iWave, Blackbaud analytics).

Data Integrity & CRM Management (25%)

  • CRM Administration: Serve as the primary system administrator for the Museum's donor management system (Altru/Blackbaud), maintaining data quality standards.
  • Data Standards & Audits: Establish and enforce data entry standards, gift coding protocols, and record-keeping procedures for the full Development team.
  • Finance Reconciliation: Reconcile gift and financial data with the Finance Department on a regular basis and produce all monthly reports for Finance and Development Team.
  • Training & Vendor Management: Lead CRM training for all Development staff, including onboarding for new hires. Serve as the primary contact for the database vendor.

Fundraising Analytics & Reporting (25%)

  • Reporting Infrastructure: Design and maintain a suite of dashboards and performance reports for the Director of Development, VP of Strategic Advancement & Principal Gifts, and Executive Director.
  • Campaign Analytics: Produce campaign-specific analytics including gift tracking, phase milestone progress, and forecasting.
  • Fundraiser Performance Tracking: Track and report on frontline fundraising activity for all gift officers, including portfolio size, visits completed, proposals submitted, and gifts closed.
  • Committee Reporting: Prepare Development Committee meeting materials including board-facing fundraising summaries and campaign dashboards.
  • List Management: Generate donor and stakeholder lists, segmentation queries, and prospect pools to support cultivation events, giving days, and campaign communications. 

Gift Processing & Acknowledgment (10%)

  • Gift Entry: Oversee timely and accurate gift entry and pledge processing, in coordination with the Development Assistant and other Development team members.
  • Campaign Gift Administration: Maintain comprehensive campaign gift documentation including pledge agreements and gift intentions, ensure campaign gifts are coded and tracked separately from operating support, and reconcile campaign totals with Finance.
  • Pledge Management: Maintain pledge schedules and produce timely status reports for the Director of Development, VP of Strategic Advancement and Principal Gifts, and Finance.
  • Acknowledgments: Ensure gift acknowledgment letters and pledge reminders are distributed according to institutional timelines.

Collaboration & Institutional Support (10%)

  • Leadership Support: Support the entire Development Department, including CEO, Director of Development, and VP of Strategic Advancement & Principal Gifts with reporting and coordination.
  • Event Support: occasional support required at Fundraising events on nights and weekends
  • Calendar Management: Maintain the Development Department's master calendar of project deadlines, reporting cycles, and donor events.
  • Compliance and Data Privacy: Ensure compliance with fundraising regulations, gift acceptance policies, ethical standards, and donor confidentiality requirements. Maintain donor data privacy protocols, access permissions, and record retention practices consistent with Museum policy.

Required Qualifications

Experience

  • Minimum of 3–5 years in development operations, advancement services, or a closely related role
  • Demonstrated experience managing a donor database at administrative or power-user level (Altru/Blackbaud, Raiser's Edge, Salesforce NPSP, Tessitura, or equivalent)
  • Experience with prospect research tools and wealth screening platforms
  • Experience supporting frontline gift officers through pipeline management and donor profile preparation
  • Proficiency in Excel, Google Sheets, or equivalent; dashboard experience a strong plus
  • Bachelor's degree required

Accountant, Full-time

Duties and Responsibilities:

Month End and Financial Reporting

  • Post Accounts Payable transactions and journal entries.
  • Import and post transactions from Altru into Financial Edge NXT.
  • File Connecticut State sales tax returns.
  • Assist with preparation of monthly financial statements.

Account Reconciliation

  • Reconcile bank accounts.
  • Reconcile credit card transactions with Blackbaud Merchant Services.
  • Prepare journal entries for bi-weekly payroll.
  • Prepare and upload 401(k) contribution spreadsheets.
  • Complete all account reconciliations.

Audit Support

  • Assist external auditors with the annual audit process.
  • Assist with preparation of Form 990 documentation.

Bookkeeping Support

  • Assist the Bookkeeper with the following activities and responsibilities:
    • Review daily closing reports from Front Desk, Store, Rentals, and Development departments.
    • Monitor bank activity, including incoming and outgoing wires.  
    • Oversee the deposit process in Altru and Shopify by verifying credit card, cash, and check transactions and preparing daily deposits for posting and reconciliation.
    • Ensure accurate entry of transactions into the General Ledger, including journal entries and cash receipts.
    • Collaborate with the Development department to ensure proper accounting of checks and wire transfers.
    • Coordinate with Blackbaud Merchant Services regarding disputed or returned credit card transactions.
    • Review and Accounts Payable invoices entered in Financial Edge NXT.
    • Review payment documentation files for Positive Pay processing.

Required Education/Experience/Skills

  • Minimum of an associate degree required.
  • Minimum of 5 years of relevant experience required.
  • Familiarity with Financial Edge NXT, Altru and Shopify preferred.
  • Strong written and verbal communication skills to interact with executives, auditors, and team members.

Facilities Technician, Full-Time

The Facilities Technician is responsible for supporting the daily operation, maintenance, and repair of the Museum's facilities to ensure a safe, clean, and welcoming environment for visitors, staff, and collections. This position performs preventative maintenance, responds to facility needs, and assists with exhibitions, events, and general building operations.

Duties/Responsibilities:

  • Perform daily walkthroughs of museum facilities to identify and report maintenance issues, safety hazards, or cleanliness concerns.
  • Assist in monitoring and maintaining building systems, including HVAC, lighting, plumbing, and security systems, reporting issues as needed.
  • Coordinate with the Director of Facilities and Security and external vendors to support repairs, maintenance, and facility improvement projects.
  • Assist with the installation and deinstallation of exhibition materials, collaborating closely with curators, registrars, and exhibition staff.
  • Support museum events, exhibitions, and programs by setting up and breaking down furniture, equipment, signage, and other event materials.
  • Assist with facility security procedures, including opening and closing the building, monitoring alarm systems, and responding to emergencies as directed.
  • Conduct routine inspections of museum facilities to help ensure compliance with safety regulations, building codes, and ADA accessibility standards.
  • Maintain accurate records of maintenance activities, work orders, and inventory of supplies and equipment.
  • Collaborate with museum staff across departments to address facility-related needs and support the Museum's mission.

Museum Educator, Full-Time

The Bruce Museum seeks a Museum Educator to join its Audience Engagement Department. This is a newly created position, responsible for designing and leading hands-on educational programs for students from early childhood through high school. The Museum Educator will have a special focus on the Museum’s afterschool programs with community partners, and Saturday family programming. The Bruce Museum is seeking a highly motivated, energetic team player with a love of hands-on STEAM education and project-based learning. The Museum Educator reports to the Manager of School and Community Partnerships. This is a full-time (35 hours/week), non-exempt position with a Tuesday-Saturday schedule with a typically one-hour, unpaid lunch break. Start and end times will vary each day to accommodate staffing needs at programs and events. Occasional work on Sundays and Mondays may be required.

Responsibilities: 

  • Teach onsite and offsite school, afterschool, and family programs including birthday parties.
  • Lead STEAM programs at the Bruce Museum and at outreach locations for community partners.
  • Learn about the Museum’s permanent collection and temporary exhibitions. 
  • Set-up and clean-up after programs take place.
  • Check supplies and prep materials for upcoming programs.
  • Attend specific training sessions to learn about museum exhibitions and collections. 
  • Assist with program material preparation, recruitment events and meetings for specific initiatives.
  • Assist with large-scale evening and weekend events, like family days and lectures, as necessary by preparing and assisting with hands-on activities, registration, set-up, and clean-up.
  • Perform other tasks related to job or Audience Engagement.

Recommended Education, Experience, Knowledge, & Skills: 

  • Bachelor’s degree in art, science, cultural history, education, museum studies or a related field required.  
  • 1–3 years of experience working in a museum, nature center, cultural organization, or comparable experience in a related institution.
  • Teaching experience, particularly with children, is required.
  • Teaching experience with elementary and pre-kindergarten students is preferred.
  • Understanding of the basic tenants of STEAM pedagogical theory.
  • Valid driver's license and ability to operate Museum vehicles and travel to off-site locations as needed.

Working Conditions and Physical Requirements:

  • Prolonged periods moving throughout the teaching spaces (onsite or offsite) without a break.
  • Unattended mobility required in object handling.
  • Ability to regularly move/transport and utilize teaching materials and accompanying equipment weighing from 10lbs to 25lbs each.  
  • Must be available to work during the following peak periods: 
    • October 12 to December 22 
    • April 12 to June 18
  • Any extenuating circumstances beyond employee’s control requiring an absence will be reviewed individually for approval.

Development and Events Coordinator, Full-time

Position Overview

The Development and Events Coordinator supports the Bruce Museum’s Development team with a primary focus on donor and member events, cultivation activities, and related communications. Reporting to the Director of Donor of Membership and Patron Engagement and working closely with the Museum’s central Events team in Operations on event production and logistics, the Coordinator manages event workflows and ensures timely, coordinated execution across departments. The Coordinator also works closely with the Director of Donor Relations. This highly organized, detail-oriented position is ideal for someone who thrives in a fast-paced environment and enjoys managing multiple projects, deadlines, and stakeholders. The role offers meaningful exposure to development strategy, event production, membership, and donor stewardship.

Primary Responsibilities Event Coordination & Logistics

  • Coordinate invitations, RSVPs, guest lists, staffing, communications, and logistical details for donor and member cultivation, stewardship, and recognition events, with support from the Development Assistant. 
  • Serve as a primary point of coordination between Development, Operations, Marketing & Communications, Visitor Services, and external vendors for Development events. 
  • Support vendor, catering, and venue coordination, including scheduling, confirmations, and day-of logistics. 
  • Provide on-site event support with Development Assistant, including setup, check-in, staffing, and breakdown, as needed on evenings and weekends. 
  • Track attendance and post-event activity and ensure relevant participation is recorded in donor and member records. 
  • Assist with event budgets, invoices, expense tracking, and reporting. 
  • Coordinate the execution of the Museum’s annual Gala and Gala Committee meetings in partnership with the Director of Donor Relations and relevant Museum teams. 

Development Communications & Event Marketing

  • Coordinate Development event and engagement communications with Marketing & Communications, including submission of requests, drafting and proofing copy, approvals, and scheduling. 
  • Maintain the Development communications, social media, and event calendars. 
  • Coordinate hardcopy and digital invitation distribution and mailing timelines, with support from the Development Assistant. 
  • Build event pages and draft web copy for Development events. 
  • Maintain the Development event tracker and ensure key deadlines, communications, and deliverables are up to date. 

Membership & Patron Support

  • Provide logistical and administrative support for membership and patron events, programs, and activities in partnership with the Director of Membership and Patron Engagement. 
  • Coordinate the logistics of member and patron benefit fulfillment. 
  • Support membership and annual fund mailings through timeline coordination, proofing, approvals, and execution, in partnership with the Development Assistant. 
  • Assist with annual fund projects and communications as needed. 

Department Coordination & Administration

  • Own and maintain the Development event and cultivation calendar, including dates, deadlines, deliverables, and logistical requirements. 
  • Maintain shared event documents, digital files, templates, and other materials to support efficient team coordination. 
  • Work with the Development Operations Manager to ensure event, membership, and cultivation activity is accurately reflected in Altru. 
  • Provide project coordination and administrative support for Development presentations, special initiatives, and other priorities as needed.
